ALTERNATIVE TO SHAREPOINT

SharePoint was built for collaboration.
You've been using it as your ECM. That's why it keeps breaking.

Version chaos across Sites, Teams, and OneDrive. Retention policies that need third-party add-ons to actually work.

SharePoint does a lot of things. ECM is not one of them.

If you've been forcing SharePoint into the role of records system, compliance backbone, or long-term content repository, you already know what it costs. Click any card to see the full story below.

1
No real governance
Retention policies that exist on paper.
2
Version and duplication chaos
Nobody knows which version is authoritative.
3
End of support in 2026
The clock is running on SP 2016 and 2019.
4
Compliance gaps that grow
Discovered when it's already too late.

SharePoint has no native retention management that works the way records managers need it to. No disposition workflows out of the box. No real records management without expensive add-ons or custom builds on top.

You can configure retention labels in Microsoft 365, but the experience is disconnected from how your business actually classifies documents. Most organizations end up with retention policies that exist on paper but are not enforced in the system.

The same document lives in a SharePoint site, a Teams channel, someone's OneDrive, and an email attachment. SharePoint versioning tracks changes within a single library, but it does nothing about copies spreading across the Microsoft 365 ecosystem.

When an auditor asks "where is the final version of this contract," the honest answer is usually "it depends on who you ask."

sync_problemDuplication risk

Extended support for SharePoint Server 2016 and 2019 both end in July 2026. After that, no security patches. The obvious path is SharePoint Online, but that brings storage quotas, API throttling, and reduced customization.

For organizations with data sovereignty requirements, moving to Microsoft's cloud may not be an option. "Wait and see" is not a safe decision.

timer_offDecision deadline

GDPR requires you to classify personal data, apply retention rules, and produce audit trails on demand. Industry regulations in banking, insurance, and government go further. SharePoint does not provide this natively.

You can bolt on Microsoft Purview, but that's another license, another system, and another layer of complexity. Most organizations discover the gaps only when preparing for an audit.

policyRegulatory exposure

You don't have to rip out SharePoint. That's not the point.

Your teams collaborate in SharePoint every day. The problem isn't SharePoint. The problem is using SharePoint as the system of record for content that needs governance.

1
Keep SharePoint for what it's good at
Collaboration stays where it belongs.
add

Your teams co-edit documents in Teams and share files in OneDrive every day. That's fine, and replacing it would cause more disruption than it solves.

2
Add the governance layer that's missing
Uxopian sits alongside SharePoint as the ECM layer.
add

Content that needs retention policies, classification, audit trails, and compliance controls flows into Uxopian. Content that's just day-to-day collaboration stays in SharePoint.

Users don't need to know where a document physically lives. Uxopian can federate content from SharePoint libraries, applying classification and governance rules to documents that still reside in SharePoint.

4
A spectrum of modernization, not a rip-and-replace
The path depends on your situation.
add

Some organizations start by federating SharePoint content and adding governance. Others migrate their most regulated content to Uxopian while keeping SharePoint for collaboration. You're not locked into an all-or-nothing decision.

SharePoint as an ECM vs. Uxopian

Uxopian
Purpose-built for enterprise content management: ingestion, classification, retention, governance, and retrieval at scale.
SharePoint
Collaboration and document co-authoring within the Microsoft 365 ecosystem. It does this well.
Uxopian
Native retention policies with configurable disposition workflows. Records management is a core function, not an add-on.
SharePoint
Retention labels available in Microsoft 365, but limited. No native disposition workflows. Requires Microsoft Purview for anything beyond basic retention, plus an additional license.
Uxopian
Multi-model classification that applies metadata automatically at ingestion. Documents are classified without depending on users to fill in fields.
SharePoint
Metadata columns exist but adoption is low because users must fill them in manually. No automatic classification without third-party tools.

Uxopian
NoSQL architecture built for repositories of hundreds of millions of documents. No list view limits. Horizontal scaling by adding nodes.
SharePoint
5,000-item list view threshold. Performance degrades with large libraries. Storage quotas on SharePoint Online get expensive fast.

Uxopian
250+ format viewer (ARender) handles Office, PDF, images, CAD, DICOM, email archives, and legacy formats. Annotation and redaction built in.
SharePoint
Strong for Office formats. Limited for non-Microsoft file types. CAD, medical imaging, and legacy formats require workarounds or external viewers.
Uxopian
On-premises, private cloud, or hybrid. European-origin software. Your data stays in your infrastructure if that's what you need.
SharePoint
SharePoint Online is cloud-only (Microsoft Azure). SharePoint Server on-premises is reaching end of support. Hybrid is possible but adds complexity.
Uxopian
Integrates with Microsoft 365 via APIs and connectors. Works alongside SharePoint rather than replacing it.
SharePoint
Native. Tight integration with Teams, Outlook, OneDrive, Power Automate, and the full Microsoft ecosystem. SharePoint's strongest advantage.
Uxopian
When you need a real ECM: enforced retention, automated classification, large-scale repositories, multi-format viewing, audit trails, and compliance that doesn't depend on user behavior.
SharePoint
Basic collaboration and document sharing within Microsoft 365, without complex retention, classification, or compliance requirements.

If you're running SharePoint Server and the clock is ticking

End of support for SharePoint 2016 and 2019 is not a distant concern. The decision window is now.

Fast2 handles SharePoint migrations

Fast2, Uxopian's migration engine, connects to SharePoint Server and moves documents, metadata, permissions, and version histories to the target platform.

Consolidate SharePoint and other systems into one platform

Many organizations have SharePoint plus a network file share, plus an old Documentum instance. Fast2 can pull from all of these into a single ECM.

The ECM capabilities SharePoint doesn't have natively

Each of these maps to a specific gap in SharePoint's ECM story. You don't need all of them, but most organizations hit at least two.
